Beneficiaries are the recipients of funds sent with a Disbursements form. These individuals or organizations receive funds, based on the approved area budget, to cover program expenses.
There are requirements (listed below) for the documentation of the Beneficiary's financial status and banking information.
The Beneficiary and documents must be reviewed and approved by Ministry Operations and the Finance Department before the Beneficiary can be used for a Disbursement. Please account for the time needed to obtain approval when submitting a new Beneficiary prior to requesting a Disbursement.
The Beneficiary section lists a summary of Beneficiaries sorted alphabetically by Name. Users can select "Customize Report" to open the report view for more filtering and reporting options. From the Overview page, users can also select "Add New Beneficiary" to open the Beneficiary Form.
Select Finance from the main menu, then go to the Beneficiaries tab at the top of the screen. On the Beneficiaries section, select Add New Beneficiary on the top right-hand side of the screen.
A user can also add a Beneficiary by going to the Quick Actions card on the Finance overview tab and selecting Add New Beneficiary.
The following information will be required to submit a Beneficiary for review.
General Beneficiary Fields
Name - Enter the full name of the Beneficiary.
Email - Enter the email address for the Beneficiary.
Address - Enter the address of the Beneficiary. This address cannot be a PO Box.
Country - Select the country of the Beneficiary.
Beneficiary Account - Enter the Beneficiary's account number as assigned by the Bank.
Telephone # - Enter a phone number for the Beneficiary.
Vendor ID - Enter the Vendor ID assigned by Serenic.
Active - Check the box to indicate the Beneficiary is active.
Disbursement Mode - Select the mode by which the money is being disbursed.
Reason - Enter a reason for the Beneficiary or any additional notes.
Bank Information Fields
USA Destination Bank or USA Intermediary Bank:
Note: These fields are enabled only when the Disbursement Mode is ACH/Direct Deposit or Wire.
Bank Name - Enter the name of the USA Bank.
Bank Address - Enter the full address for the USA Bank.
ABA - Enter the ABA nine-digit code that identifies financial institutions in the United States.
Account - Enter the USA Bank account number.
For Further Credit to Destination Bank:
Note: These fields are enabled only when the Disbursement Mode is ACH/Direct Deposit or Wire.
Bank Name - Enter the name of the Destination Bank.
Bank Address - Enter the address of the Destination Bank.
City - Enter the city of the Destination Bank.
State/Province - Enter the state/province of the Destination Bank.
Country - Select the country of the Destination Bank.
Swift # - Enter the swift number for the Destination Bank.Bank Name: Text, required, max length 40
Select Submit to submit the Beneficiary or Submit & New to submit the Beneficiary and open a new Beneficiary form.
Submitted Beneficiaries will be reviewed and approved by the Ministry Operations Manager and the Finance Department.
Select Finance from the main menu, then go to the Beneficiary tab at the top of the screen. Search for the Beneficiary that needs updating.
A user can also get to the Beneficiary list by going to the Quick Actions card on the Finance overview tab and selecting the View All button to the right of Add New Beneficiary.
Review all fields and make the necessary updates to the Beneficiary. It is helpful to review the tips for completing a Beneficiary before updates are made.
If a user needs to delete a Beneficiary, they will find a delete icon on the top right-hand side of the form to use. This option will only appear to users who have account permission to delete the Beneficiary form.
Select Save Changes or Save & New to submit changes and open a new Beneficiary form.
A user can also add a new Beneficiary form by selecting the Add New button at the top right-hand side of the screen.
The user may provide information in the Timeline comment section concerning the Beneficiary and the reason for the necessary changes.
The user can type to search in a dropdown field to filter the list for the needed entry.
