A Budget Plan is the estimate of income and expenses for a ministry program in a calendar year. Budget plans are reviewed by department managers and are submitted for approval before they can be used by ministry programs.
Make sure you have selected the correct planning year you intend to view or work in.
Select Planning from the main menu. Go to the plan selector on the top right of the screen and select the Working Plan for the budget year to where you would like to add budget data.
Select the Budget tab at the top of the screen and search for or click on the program, country, or region that you would like to enter a budget line item for.
Add budget line items by clicking on Add New Account and selecting the appropriate Cost Center.
Once the budget line item appears you will click on the Select an Account drop-down to identify the finance account that explains the income or expense that needs to be selected and add estimated budget allocations in the appropriate months.
Click the Save Changes button when you have entered all of your information.
Adding budgets for Assets
When adding asset budgets, the user will see an asset pop-up box appear when a month is selected. The description of the asset, its proposed use, quantity, and cost are required fields to complete the asset account line.
Cost Center Selection
It is important to identify which cost centers will be needed in the budgeting process to accurately enter budget plans. Ministry teams can contact the Field Services team to clarify any questions they might have on how to allocate budget line items correctly.
Notes Section
The Notes icon provides a space where team members can clarify information on the budget line item entered.
Monthly Budgeting
Ministry teams are encouraged to plan their budget allocation for the calendar year and enter the budgeted amounts by month. This level of detail assists with cash flow planning and monthly disbursement estimates by the Finance Department.
Distribute Evenly
By clicking in the Total Amount column (Step 1), the total amount for an account line can be entered (Step 2) and evenly distributed across all twelve months (Step 3).
Copy Amount
Clicking the icon next to the January amount will copy the same number across all twelve months in that account line.
Select Planning from the main menu. Go to the plan selector on the top right of the screen and select the Working Plan for the budget year to where you would like to add budget data
Select the Budget tab at the top of the screen and search for or click on the program, country, or region where you would like to make the change.
Make any necessary changes in the budget plans. You can add, delete, or adjust budget line item details.
NOTE:
An amount can be copied to all twelve months, by entering the value in January and clicking the copy button.
An annual Account Total can be evenly divided across twelve months by clicking the Account Total box on an Account row and entering the amount in the popup window.
Click the Save Changes button when you have entered your changes.
Ministry plans can change before they are approved. These changes often lead to adjustments that have to be made to budget line items.
During the time that the Planning year is open, the budget changes made are automatically reflected in the Approved Plan. Once the Planning year is closed, a user must add a reallocation after budget changes are made to begin the approval process.
