A Reallocation is the final step in the process of transferring product and budget changes from the Working Plan to the Approved Plan.
A process begins with creating a reallocation, making necessary changes, if needed, and then submitting it for review. Department Managers and Geographic Vice Presidents of the geographic areas affected by the requested change review the submitted request and can approve or deny the request as submitted. The approved changes will be copied into the Approved Plan.
The Reallocation section in HopeWorks 3 can be found in the Main Menu under Planning.
Make sure you are in the budget year that you want to make the changes.
Budget and Product Request changes need to be done in the Working Plan of a budget year BEFORE a Reallocation is requested.
Select Planning from the main menu, then go to the plan selector on the top right of the screen and select the Working Plan for the year that you are working in and would like to request the change.
Click on the New Reallocation Request button on the top right-hand side of the screen. This action will take you to a screen that shows a table listing all changes between the plan you made the changes on, and the Approved Plan.
Click on the boxes of all the changes that you want to include in the request. The list by default will show the changes in the area you were working in. The user can view all the changes entered by clicking the Show all Changes button on the top right of the list.
The submitter can add a comment as part of the reallocation creation to record any details that might be helpful for the managers to know as a reference.
Select Save & Submit or Save Changes. When the request is submitted, an email is sent to all the managers that are required to approve the request with a link to the reallocation. The authorized managers can approve or deny a request. After all the authorized team members have approved a reallocation, the changes will reflect in the Approved Plan.
The Save Changes option allows you to save selections without submitting the reallocation request.
Go to Planning and then select Reallocations. Search for and select the reallocation request that you would like to update.
Click on Show All Changes button. Update your selections.
