The Ministry Activity is the set of actions or services that our partners perform to accomplish the objectives of a program. The Ministry Activities form is used to capture activities where programs are implemented and OneHope Materials are used (books, movies, others).
Each time a ministry activity is reported, the partner that conducted the activity must be selected. This also allows for each partner to maintain a history of their ministry activity in HopeWorks for reference and future program planning.
OneHope programs use different methods to present the Gospel to children and youth. Historically, Product Distribution or Film were the main product formats used to present biblical content. We now use various product formats in our programs.
To the right is a list of all the product formats that can be reported on in HopeWorks.
Helpful Information
The Ministry Activity form header provides helpful information for a user that is entering or viewing activity data. The header indicates the name of the user that added the form, the date the form was added, the date range of the activities entered, and the number of activities entered in one form.
Select Partners from the main menu. Then go to the Ministry Activities tab on the top of the screen and click on the Add New Ministry Activities button on the top right-hand side of the screen.

A user can also add a report by going to the Quick Actions card on the Partners Overview tab and selecting Add New Ministry Activities.
The user can type to search in all fields that have a dropdown option for the needed entry.
HopeWorks indicates that a field is required on a form by marking it with an orange border. If a form is saved with a required field missing information, a message will appear indicating what information needs to be completed.
The following information will be required in order to submit a ministry activity report.
Event Country - Select the country in which the activity was done.
Partner - Select the partner that received the consignment of products that were used during the ministry activity.
The partner list will show the names of the most recently used partners at the top of the list.
If a partner name does not show up on the list it may be due to one of the following reasons:
The partner was not added to the Partner list
Products are not consigned to the partner.
A partner was added to the Partner list, but programs are not attached to the record.
On the date of the activity entered there are no products available to report on.
Reported By - Enter the name of the person that reported the event or the entity submitting the report. (This is not necessarily the team member doing data entry into HopeWorks.)
Notes - Add detailed notes related to the event or any information that other users will find helpful when reviewing the report. Optional but recommended.
The following location details are requested in order to accurately record the location of ministry activity.
Location Type - Select the type of location where this event was done. This can be a church, school, orphanage, prison, hospital, military base, or other.
Location Name - Enter the name of the location where the event was done (ex. name of the school). This is not a required field, you can leave blank.
Address - Enter the address of the place where the event took place. This is not a required field, you can leave blank.
City - Enter the city or town where the event took place.
Province - After the city is entered, a user will need to select a locality from the Provinces drop-down. The province dropdown will show a list of the highest political and administrative divisions in a country. Each country may refer to these administrative localities as provinces, counties, states, departments, regions, or by another name.
The dropdown list will be divided into two sections. The top sections will list Suggested localities (provinces, counties, states, departments, and regions) that might match the city that the user entered. Below the Suggested list, the user will find the list of all localities (provinces, counties, states, departments, and regions)available for the country selected.
If the user selects one of the suggested localities in the dropdown, the user then can continue to enter the activity details.
If the user selects any of the provinces outside of the Suggested localities, a Location window will appear.
This window will give the user additional options to help confirm location data to save for the report.
Option 1: Use Suggested Location
This option allows the user to review all suggested city and province combinations, and select the option that matches the reported activity.
Option 2: Use Entered Location
If none of the Suggested locations can be used, the user has the option to save the city and province combination entered on the form and use the map to pin a location. The user can zoom in and out on the amp and search for the approximate location of the reported activity. The pin will save latitude and longitude coordinates in HopeWorks for this activity.
Option 3: Unknown Ministry Activity Location
If no location was reported for the activity, select Location Unknown.
Select Confirm and then continue to add Activity Details.
Event Date - Enter the date when the event took place. DO NOT enter the date when the report is being added to HopeWorks.
Program - Select the program that was implemented at the event.
Product - Select the product that was used at the event.
The product selected determined what kind of additional activity information is needed to add to the report. The chart below shows the common data required by the type of product that is selected.
Print and Curriculum
Quantity - Enter the total number of books or products that were distributed.
Film and Live Performances
Total Viewers - Enter the total number of viewers (children, youth, and others) that watched the movie. Adults who viewed the film products can be added to the Other field.
Film
Number of Showings - Enter the number of film showings done to achieve the total number of viewers.
Broadcast - Check the box if the movie product was shown on television and an agreement was signed between OneHope and the television network to show the movie product.
Live Performances
Participants - Enter the total number of individuals (children, youth, and others) that participated in the performance.
Audio
Listeners - Enter the total number of individuals (children, youth, and others) that participated and listened to the product content through an audio device.
A user can continue entering additional activities for the location selected by clicking on +Add New Activity.
If the user has more reported activity for the partner for a different location, the user can click on +Add Location and follow steps 3 and 4 to complete activity details for the newly added location.
Select Save or Save & New once all activities are entered.A user must use the information provided by the partner to accurately identify where the ministry event happened. The tips below can help enter accurate location details.
